Stop chasing information across different places.
Your team shouldn’t have to rely on spreadsheets, notebooks, and WhatsApp chats to manage policies and renewals. Keep policy details, KYC documents, and commissions together so you can quickly see what needs attention and what insurers owe you.
Renewal Dates Get Forgotten
Renewal dates live in a notebook, phone calendar, spreadsheet, or someone’s memory. One missed date can leave a policy expired before anyone notices, and the client may only find out when they need to make a claim.
Chasing KYC Documents Takes Time
Requesting an ID, logbook, or other KYC document means sending the same message across different WhatsApp chats and following up when clients don’t respond. Important documents can easily get buried or lost.
Matching Commissions by Hand
Commission statements come in spreadsheets with rows of policies and payments to check. Your team has to match them one by one, making reconciliation slow and leaving room for mistakes.
Where Is the Commission?
Expected and received commissions sit in different records, spreadsheets, or messages. By month-end, nobody has a clear view of what is outstanding or which insurer it belongs to.
No Full View of the Client
A client may have motor, medical, and WIBA policies with different insurers. Your team has to check different records to see the client’s full portfolio.
Renewals Are Hard to Track
Without a clear link between an old policy and its renewal, it’s difficult to know which clients stayed with you. At year-end, persistency becomes a guess instead of a clear figure.
Enter the Policy Once.InsureFlow Does the Rest.
Enter the right policy details once and InsureFlow carries them through renewals, KYC, and commissions without repeated data entry or manual follow-up.

Record the Policy
Enter the policyholder, insurer, policy type, and premium. Manage 33 policy types across general and life business, including Motor, WIBA, Group Life, and Pensions.

Get Reminders Before Expiry
Reminders go out 30, 14, 3, and 0 days before a policy expires, with another reminder when it becomes overdue. Each agency can set its own reminder schedule.

KYC Documents Stay on Track
Required documents are linked to the policy type and class of business. Customers can upload them directly, so your team spends less time chasing documents over WhatsApp.

Create and Send Invoices
Create, customise, and send professional invoices for premiums directly from InsureFlow. Payments are automatically matched to the right invoice, keeping your records up to date.

Track Commissions Automatically
See expected commission, withholding tax, and payment status in one place. As receipts are recorded, commission records are updated automatically.

Track Every Renewal
Each renewed policy stays linked to the original policy, so you can see your actual persistency rate without waiting for year-end calculations.
From Payment to Renewal
When a policy reaches its renewal point, InsureFlow prepares the invoice automatically. Your agent reviews and sends it to the client, and once payment is received in full, the renewal happens automatically with the previous policy still linked.
- Invoice prepared at the renewal reminder stage
- Agent reviews and sends the invoice
- Full payment renews the policy automatically

Questions, Answered Clearly
Does InsureFlow replace my insurer’s system?
No. InsureFlow manages your agency’s side of the business — clients, policies, renewals, documents, commissions, invoices, and payments. Your existing relationship and placement process with each insurer stays the same.
Do I need to move all my existing policies first?
No. Import your active book in bulk using Excel, or start with new policies and add existing ones as they come up for renewal. You can move across at your own pace.
What if one client has policies with different insurers?
That’s fine. All of the client’s policies sit under one client record, so you can see their motor, medical, life, and other covers together, even when they are placed with different insurers.
Can I change the withholding tax rate?
Yes. InsureFlow starts with 5% as the default, but you can change the rate when a particular policy or insurer requires something different.
Who receives the renewal reminders?
Your team gets the early reminder so there is time to review the renewal. The client is only contacted after an agent has reviewed and approved the invoice for sending.
Will my team need training?
InsureFlow is designed to be straightforward. Common tasks such as adding a policy, requesting documents, and recording payments are handled in simple screens. Onboarding also includes guidance on reports and commission reconciliation.
